Revel Bikes runs lean. There is no CFO and no IT department. Julie, the company’s controller, handles all of the finances alongside the owner and CEO, while the sales team lives in Shopify and the business ships bikes to customers across the US and overseas.
That setup left Julie carrying ecommerce accounting almost entirely by hand. Every order that came through Shopify had to be turned into journal entries in QuickBooks, and there was no reliable connection between the two systems.
Bicycles are not a fast-turnover product. Custom orders can take several weeks to ship, and orders change in the meantime. Shopify’s reporting is built for stores that turn inventory over daily, so it never fit how Revel Bikes actually operates. Julie moved from weekly to monthly journal entries to keep the workload manageable, but that traded one problem for another.
“It was not until after I had closed the month that we could really see our numbers and metrics.”
The real breaking point was revenue recognition. Because weeks can pass between an order being placed and a bike shipping, Revel Bikes needs revenue to land in the books when an order is fulfilled, not when it is taken. Shopify does not do that on its own.
“The main thing for us is that we want to recognize revenue on a fulfillment basis, not on an order-taken basis. For us it can be several weeks between an order being taken and actually shipping the product out, so it is really important to recognize our revenue only upon fulfillment, and that is not native to Shopify. That was when I started to look for a connector that would let me control when data was pushed from Shopify to our accounting system.”
With no dedicated technical team, Julie did the research herself, leaning on online searches and AI tools to work through the options. She compared three different Shopify connectors. Two of them were expensive and heavy to set up, built for a level of complexity Revel Bikes did not need. Her CEO wanted to keep things simple and avoid duplicating data that already lived in Shopify.
MyWorks stood out because it let her decide exactly how much data flowed into QuickBooks, at a price that fit a small team.
“A lot of it came down to the cost, the ease of using it, and the flexibility in choosing what comes over to the accounting system from Shopify.”
Setup did not turn into a project. Julie had MyWorks running in about two hours, with a couple of support conversations to understand how specific transactions would appear on her side.
“It was super easy. It probably took about two hours total to get it up and running, plus a couple of chats with support. It was a super easy setup.”
Revel Bikes started out syncing detailed, line-item data for the first few months, which worked well. When daily summary syncing became available, Julie switched to it and preferred the cleaner, condensed entries.
“We started before the daily summary journal entries were available, so for the first few months we imported a lot of detailed data, and even that was great. I prefer the condensed daily summary entries we are able to do now.”
“It is so flexible, and for the price, you can choose how much data you want to import. I can’t believe that we pay so little for the functionality that we get out of it.”
“A good 15 hours a week went just to pulling the reports, checking them, and trying to understand what was in the report. Now it is maybe an hour or two a week, just checking the export and making sure the accounts are in a reasonable balance.”
Instead of rebuilding the books by hand, she monitors them.
Support kept earning her trust, including on questions that reached beyond MyWorks itself.
“The support has been great. I’ve had questions that probably didn’t even fall within the realm of things they should know, and they answered them for me. They definitely know what they are doing.”
“I am not having to check every single day what data is coming over. I am just trusting the connector.”
That confidence freed her to work on things that had been waiting. Revel Bikes went through a complicated merger, and the back-end accounting cleanup from it kept getting pushed aside. With the sync handling itself, Julie could finally turn to that work, along with refining the company’s Colorado sales tax process as the business grows.
“Once I was confident that the information was coming from Shopify to my accounting system the way I wanted, at the frequency I needed so I could pull reports, I was able to pretty much forget about it. I let that part of the accounting run itself now.”
For a lean team, the value stood out as much as the time savings.
The change to Julie’s week was immediate. The manual reporting and reconciliation that used to consume most of her time now runs quietly in the background.
