The system automatically syncs Shopify orders to QuickBooks. Users can verify sync status within the Shopify orders page. When an order syncs to QuickBooks, MyWorks transfers all order line items and custom fields, including multi-currency, discounts, taxes, and transaction fees.
Orders can sync as individual transactions or as a single daily summary. The Settings tab controls how data syncs to QuickBooks. Automatic syncing runs as frequently as every 5 minutes in both directions, with user control over which data syncs automatically.
Order settings allow customization of how orders appear in QuickBooks. Orders can sync individually as sales receipts, invoices, or estimates, or as a daily summary. Syncing can be configured based on order tags, allowing some orders to sync individually while others sync as daily summaries.
MyWorks supports Class and Location mapping based on Order Channels, Locations, Customer Segments, or Order Tags. This enables specific reporting in QuickBooks to separate different sales categories.
The system syncs Purchase Orders from the Stocky app to QuickBooks as a Purchase Order, Bill, or both. Payment and payout syncing to QuickBooks is configurable, with compatibility for any payment method. Different QuickBooks bank accounts can be assigned to each payment method. The system syncs payouts, refunds, and transaction fees.
The Map tab matches Shopify data to corresponding QuickBooks data, including Products, Customers, and Tax Rates. An Automap tool automatically matches products when SKUs or names match across platforms. Manual matching is available for products and variations. Products can be mapped using either Name or SKU.
Shopify collections can be mapped to a product, account, class, or location in QuickBooks. The system handles global tax rates and can map Shopify tax rates to QuickBooks taxes, or sync tax as a line item in each order.
The Push tab enables pushing existing products and orders into QuickBooks. Past orders can be pushed with filtering by date or status type. This tab also serves as a location to verify order sync status.
The system includes compatibility with Shopify Plus and B2B features.

For joining me today. I’m Brenda, and I’m part of the customer success team here at MyWorks. I’m so excited to finally announce our new integration with Shopify and QuickBooks online. I know we’ve had several of you who have also been anticipating this day. So let’s dive in and I’ll show you how you can use my works to help save you tons of time on your accounting. Don’t worry if you are a beginner. Myworks is intuitive intuitive enough for users that are new to Shopify yet customizable enough to fit even the most advanced scenarios that you might need between Shopify and QuickBooks online. In this video, we will discuss some of the most common questions and use cases for my works. Now let’s talk about how we can automate your accounting so you can spend more time on the things that truly move the needle on your business. For drop as you can see here, the sync is managed from right inside Shopify, and it connects directly to QuickBooks from there. Setting up is smooth sailing too. Once you add the my works app from within the Shopify app store, it will show in the applications tab in Shopify. From there, you can click on this connections tab and connect directly to QuickBooks from there. So as you see here, we are connected. You can also disconnect if you need to. From there, you can really customize which data you want to automatically sync over. So let’s jump into our automatic sync settings so that you can see what we sync and in which direction. As you can see, from Shopify to QuickBooks, we can automatically sync customers, products, and orders. You will also have full control of what sneaks over in which direction by simply turning on or off these switches here. As you can also see, my works is a two way sync. Allowing you to automatically sync data from QuickBooks to soft to Shopify, such as products, inventory, pricing, and payments. It’s also important to note that we would never automatically sync any of your past data once you install my works. We would only automatically sync any new data to avoid duplication. However, if you are looking for more of a manual push of existing data, you can use our push page to push your data over. Let’s jump into the push tab. Pushing will allow you to push your data from Shopify to QuickBooks, such as your customers, orders, products, and variable products. So, for example, if you jump into customer, you can see that all of your Shopify customers will show up here. And you can then select which customers you want to push over to QuickBooks and create them in QuickBooks. We can also push your past or current orders as well. So you’ll have a list of all of your Shopify orders. You can select them all or select which orders you want to push over. You can also filter it by date or even by status. And once it does sync over, you’ll have the status bar here, and it’ll show if it was synced or not synced. Same thing with your products. You can also then select which products you want to create into QuickBooks. Next, I’ll walk you through a common area of interest mapping. Myworks lets you map existing customers and products between Shopify and QuickBooks so that they can be correctly managed in QuickBooks. Mapping is very flexible and is only required for data that already exists on both sides. Let’s jump into customer mappings to take a closer look. So as you can see here, you have a list of all of your Shopify customers. You can then map it to the corresponding QuickBooks customer. However, instead of having to manually map each and every single one of these, you can then use our automap tool. This will allow you to automatically map by email, first name first and last name, and on the QuickBooks side, even by company name. We can also auto map your products. So we will automatically map by name or by SKute. And, of course, you can then manually map them if needed. And just to keep in mind, it is very important to map your products, especially if you’re tracking inventory levels because whenever we seek an order from Shopify into QuickBooks, it’ll then update the inventory in QuickBooks. And if you were to manually update your inventory in QuickBooks, it’ll then automatically map it, and update your stock levels back into Shopify. So very important. Same thing with variations though, we can map your your variable products. And we can also map your payment methods. So we are compatible with any payment gateway you decide to use. However, if you’re just using Shopify payments, that’s perfectly fine as well. We’re definitely compatible. And all you would have to do is just enable your payment syncing you can then choose a QuickBooks online payment method. You can also choose a bank account to sync a record of that payment too. So either that could be your undepusted funds account or a checking account, whatever bank account that you’d like to map it to. You can also enable transaction fee syncing. And we even have terms mapping. So if you need to do like net fifteen, net thirty, net sixty, we would be compatible. Now let’s jump into the fun part, our order sync settings. What makes my works so unique is how customizable it can be when syncing over your orders. So let’s jump into these order sync settings to take a quick look. These settings let you customize your Shopify order entry in QuickBooks to the point that it’s almost as if you had entered these orders manually. That’s how customized it is. So for example, you could seek Shopify orders as either a sales receipt or even as an invoice. You can also sync order notes to a specific field such as the customer memo, a private note, or even as a line item. We can void canceled orders, We can also automatically sync these orders once they reach a specific status in Shopify. So for example, if it’s hitting pinned, pending paid, authorized or partially paid. Whenever it hits any of those status, that’s when it’ll have that’s when it’ll trigger the sync to automatically sync to QuickBooks. We can also set a value for the QuickBooks description line item. So it could be the Shopify product or variation name. It could even be the product description or nothing. We can also email an invoice from QuickBooks to the customer after the order syncs. And we can sync all Shopify orders to one QuickBooks customer. If you don’t want a ton of different customers being created in QuickBooks, you’ll just turn this on. So lots of different settings here to just really customize how those orders sync into quickbooks for you. Also, just to keep in mind, my work is completely compatible with Shopify’s automated sales tax platforms and other tax services as well. Or if you have them manually set in Shopify, we would also be compatible with that. And another thing I wanna show you is jumping into the orders tab here. So, of course, here is where you’ll go to see all of your Shopify orders. My works, what we’ve done is we’ve created a tag that shows that it was also synced to QuickBooks. So this is a great way to go into your orders and make sure that they’re syncing to QuickBooks properly. Now jumping into myworks dot software into our plans and pricing page, You can then come here. You can choose your platform. So right now, we’re in Shopify and QuickBooks online, and then you have a list of all of our plans. We have the launch plan, rise, grow, scale, and soar. The main differences between these plans is how many orders that you can sync per month. The launch plan, you can seek up to twenty orders per month. The rise plan is up to a hundred. The girl plan is up to three hundred scale plans up to a thousand, and the store plan is unlimited orders per month. Our grow plan is the most popular, and it includes all of our advanced settings.
